Privacy Policy

Stepin Women Foundation collects as little personal information as possible, holds it no longer than necessary, and never sells or trades it. This page explains what we do collect and why.

Last updated: September 2026. This policy will be reviewed annually and whenever our practices change.

The principle we work to

We work in cancer, which means people sometimes want to tell us things that are deeply personal. Our position is that the safest data is data we never collected. We therefore ask for the minimum we need, and we actively discourage people from sending us clinical information.

What we collect

When you visit this website

This website does not use tracking cookies or advertising cookies. It does not build a profile of you. Standard technical information — such as your browser type and the pages you visited — may be recorded by our hosting provider in server logs, as is normal for any website, and is used only to keep the site running and secure.

Fonts and some scripts are loaded from third-party services (Google Fonts, jsDelivr, Bootstrap Icons). These providers may see your IP address as part of delivering those files.

When you message us on WhatsApp

We see your WhatsApp number, your display name and the content of your message. WhatsApp messages are handled under WhatsApp’s own privacy terms, which are outside our control. Please do not send medical details, test results or diagnostic information over WhatsApp. If you do, we will not retain it beyond what is needed to respond, and we will remind you of this.

When you donate

Card and mobile money details are collected and processed entirely by Paystack. Stepin never sees, receives or stores them. We do receive your name, email address, the amount, and any message you chose to include, so that we can issue a receipt and record the donation in our accounts.

When you volunteer or work with us

We collect the contact details and background information needed to place you appropriately and to meet our safeguarding obligations.

At community sessions

We record attendance numbers and programme data for monitoring and evaluation. Where we collect individual information — for example, in a research study or a feedback survey — we explain what it is for and ask for consent first. You can take part in a session without giving us any personal information at all.

Photographs and video

We publish photographs only where we own them or have permission, and where the people shown consented. Consent can be withdrawn: if you appear in an image on this website and want it removed, contact us and we will act on it.

What we do not do

• We do not sell, rent or trade personal information.
• We do not add people to mailing lists without asking.
• We do not use advertising or cross-site tracking cookies.
• We do not collect medical records or clinical data.
• We do not share donor information with other organisations.

How long we keep information

Donation records are kept as long as required for financial accountability and audit. Volunteer records are kept for the period of involvement and a reasonable period afterwards. Programme monitoring data is kept in aggregate form. Anything else is deleted when it is no longer needed.

Your rights

Under Ghana’s Data Protection Act, 2012 (Act 843), you have the right to ask what personal information we hold about you, to have inaccurate information corrected, to ask us to delete information, and to object to how we use it. Contact us and we will respond.

Children

Where Stepin works with school-age young people, we do so with the school or guardian’s involvement and do not collect personal information from children without appropriate consent.
